Details of Cover Provided

1) Public Liability Cover (Standard Cover)


This section covers all sums (up to the limit of indemnity) which the Insured shall become legally liable to pay as legal costs and damages in respect of:


  • Accidental death or bodily injury caused to any person

  • Accidental loss or damage to property caused in connection with the insured Exhibition

The standard Limit of Indemnity is £2,000,000 in respect of any one incident (£5,000,000 is available upon request). Public Liability insurance covers members of the organising Club, exhibition visitors, and proprietors of trade stands and specifically includes:

  • member to member liability

  • liability cover for live steam exhibits, including explosion of steam boilers not exceeding gauge 1

  • liability from food and/or beverage supplied

  • liability arising from advertising signs erected by the organising Club

  • liability arising from any passenger-carrying miniature railway covered by this policy, subject to prior written confirmation from Magnet

The cover is provided for setting-up days and breaking-down days as well for the days when the exhibition or event is open to the public and overnight. Cover is not generally provided for miniature train rides as it is normally expected that exhibitors providing such rides will already have cover for this but cover can normally be arranged upon referral to Magnet.


2) All Risks – Exhibition Contents Cover (Standard Cover)


This section provides cover up to the Exhibition Contents sum insured for Stands, Fixtures & Fittings, General Model Railway Contents, including: Layouts, Rolling Stock, Equipment, etc., for damage or loss. Cover is effective from the start of the journey to the exhibition, whilst setting up and during the exhibition, breaking down and to the end of the journey home. This section will also provide cover for organisations attending a Model Railway Exhibition or event in the UK where insurance cover is not already provided by the exhibition or event organisers.


The limit for any one article is 5% of the full insured value (Contents Sum Insured) of the exhibition or £1,000 whichever is the greater, layouts excepted. (This can be varied by agreement with the Insurers, subject to prior notification to Magnet Insurance Services Ltd).


In the event of loss or damage, the basis of settlement will be professional replacement or repair, or if the owner elects, the cost of materials plus a reasonable amount of time expended, subject to the adequacy of the value of the article, as declared by the owner.


An amount of up to 5% of the full value of an exhibition is covered whilst temporarily removed from the owner's premises for advertising purposes, such as a display in a Building Society office to advertise the exhibition/event.


This section also provides cover for exhibition officials' personal effects against fire and theft up to £100 for any one official.


This section also provides cover for losses from an unattended vehicle (usually to a maximum of £1,500 except by prior arrangement) but only if the loss has occurred through forcible entry to the vehicle and only if the vehicle is kept locked, all items are kept out of sight and the vehicle is kept in a locked garage or compound between the hours of sunset and sunrise.


3) Money/Cash in Transit Cover (Standard Cover)


This section provides cover for money taken at an insured exhibition or event whilst the money is on the exhibition premises whilst the exhibition is open to the public and whilst the money is being stored and transported after the exhibition. The standard cover is £3,000 maximum any one loss and any one location (higher limits can be arranged for an additional premium and upon referral and acceptance by Magnet Insurance Services Ltd). The money must be accompanied by a responsible person at all times whilst in transit. If Magnet Insurance Services Ltd have agreed a higher limit in writing, then for amounts between £3,000 and £10,000, the money must be accompanied by two responsible adults at all times whilst in transit.


Money must be deposited at the bank on the next available banking day, after the exhibition has closed to the public.


The cover extends to provide up to £3,000 in any one private dwelling of any Club or Society Committee official, e.g. Club Secretary, Treasurer, Chairman or Exhibition Manager for money following an event. All sums must be deposited at a bank or similar on the first working day following the exhibition or event.


4) Personal Accident up to £10,000 (Standard Cover)


This section provides cover to exhibition officials, whose name appears on the official stewards' list, if they sustain personal injury due solely and directly to violence occasioned by external and visible means whilst travelling to, during and returning from the exhibition, including setting up and dismantling of the exhibition.


5) Employers' Liability (Standard Cover)


This section of cover will meet the requirements of the Employer's Liability (Compulsory Insurance) Act 1969.


6) Consequential Loss (Standard Cover)


If the Exhibition Venue becomes unusable as a result of a Fire, Impact from Aircraft, Explosion, Riot, Civil Commotion, Malicious Damage, Storm or Flood, Bursting or Overflowing of Water Tanks or Pipes or Earthquake and the exhibition venue owners declare that the exhibition has to be cancelled or curtailed or if the Exhibition/Event is cancelled or curtailed due to Denial of Access to the venue declared by a Public Authority, the Police or Utility Company, as a result of a gas leak, fire in the proximity, murder or suicide or a public disorder event, then the policy provides cover for the loss of the Insured's Gross Profit (defined as Net Profit plus all irrecoverable expenses) up to an amount not exceeding 5% of the full exhibition contents sum insured.


This limit can be increased by agreement and subject to prior notification to Magnet Insurance Services Ltd.


In addition, the period of indemnity is taken to be the period of the exhibition and 6 months prior to the opening or from the date of booking the venue, whichever is shorter, provided notice of the exhibition has been given to Magnet Insurance Services Ltd at the time of booking the hall and subject to the premium being paid.


7) European Cover (Optional Cover)


If you're organising or attending an exhibition or event outside the UK but in mainland Europe, please contact Magnet Insurance Services Ltd for a separate quotation.


General Conditions

  • Each working layout is to be either barriered off from the public or if this is not possible, then the layout must be supervised at all times by the layout owners or operators, whilst the exhibition is open to the public;


  • Each stand must not be left unattended whilst the exhibition is open to the public;


  • The Exhibition Manager must hold a complete inventory of all items of an individual value in excess of £1,000 (layouts excepted) forming part of the exhibition and a copy must be retained in a separate building;


  • No liability shall be accepted by insurers arising out of the provision of cloakroom facilities for use by the general public unless you are proved to be legally liable, as a result of your negligence;


  • The Exhibition Manager to hold a complete list of Exhibition stewards and marshals;


  • Prior notice to be given to the insurers of any proposed exhibition involving a layout where passengers will be carried;


  • Minimum Standard of Security. The exhibition/event venue must comply with the following:


    Final exit doors must be secured as follows:


    • Timber doors – by mortice deadlocks having 5 or more levers conforming to BS3621 with matching boxed striking plate;

    • Aluminium doors – by cylinder mortice lock operating a swinging lock bolt;

    • PVCu doors – by key operated multi-point locking devices, having 3 or more locking points;

    • The first closing leaf of double leaf doors must be fitted internally with bolts top and bottom;


    When the exhibition premises are left unattended, all locks fitted to final exit doors must be put into effect. All opening windows or roof lights accessible from the ground floor or via roofs, pipe work or other structures, must be secured by key operated locking devices or screwed permanently shut.
